Online Reservation FAQ’s
Why make online reservations?
You can use Flava Online to book your classes in advance, so you know your
spot is reserved for YOU. You can log on and check how many people are booked into each class, so you know in advance which classes
fill up the fastest, and you can plan your schedule with confidence.
How many classes can I reserve online?
If you're on a Flava Punch
Card or Unlimited Package you can reserve as many classes online as you like, as long as you have current credits for the classes
you want to reserve. If you need more credits to reserve your chosen class, you can purchase additional classes to your punch card/package
online at the same time as you reserve your class.
When and how far in advance can I make a reservation?
You can reserve your classes
up to 2 weeks in advance of the class start date. So each day, reservations will become available for the same day of the week 2 weeks
out. Some classes fill more quickly than others, so it's a good idea to keep your eye on the reservations for each class, and reserve
as far in advance as you can, to secure your place.
When do I pay for the classes that I reserve?
When you reserve your session, 1 class
credit will automatically be deducted from your punch card. If you’re on an unlimited package, of course there’s no extra charge when
you reserve your class.
Once I have made a reservation, can I cancel it?
You can cancel your reservation online up to 2 hours before
the scheduled class start time. (Just login and go to the "My Schedule" tab, where you can view, and cancel your upcoming reservations).
When you cancel your reservation, your class credit will be refunded automatically. The 2 hour cancellation limit allows us to offer
your spot to another participant.
What happens when I miss the class that I have reserved?
When you reserve your spot in a class, we’ll
hold that spot for you, and potentially turn away other participants from the class. So out of respect for others, it’s important
that you only reserve classes you can definitely attend. When you miss classes that you have a reservation for a credit will be deducted
from your account as if you attended the class (unless you cancel your reservation more than 2 hours in advance). If you are
on an unlimited package and have 3 no shows (without prior cancellation) within month, your online reservation privileges will be
suspended for 2 weeks.
How can I check to see which classes I have a reservation for?
Just login in to your account at the top right
corner of the screen and click on the “My Info” tab. Then click on “My Schedule” to look at all your scheduled classes and appointments.
Can
I put myself on a waitlist?
Yes! If a class is fully booked, you can be added to a waitlist for the next available spot. If one becomes available, you will automatically be added to the class. At that time, your account will be charged one credit
and you will receive a notification email to the address you have associated with your profile. If you miss the class it will
be treated as a “no show” since you did in fact make a reservation for the class. Therefore, it is VERY important that you monitor
your waitlisted classes and check your notifications regularly.
Everyone who wishes to attend classes at FlavaFitness Studio MUST complete the Release of Liability form. This can be completed online during your initial set up of your account or upon your 1st visit to the studio. Parents or legal
guardians MUST complete the form for any minor children (under the age of 18) who wish to attend classes.
Front Desk Check In
EVERYONE,
regardless of membership type or reservation status, MUST physically check in at the front desk before entering the classroom. We must have an accurate head count of participants physically present at all times. If attending a subsequent class, you must
notify the person at the front desk upon initial check in or return to the front desk to check in again for the next class. Please DO NOT enter the class without checking in with a FFS staff member and wait for the previous class to exit the room before
entering. The off going instructor will notify you when you may enter the classroom.
Please allow staff to provide individual
customer service to every client by waiting in line to pay for class, ask questions or present a problem until it is your turn. Please allow instructors to enter and leave the classroom in a timely manner as to ensure that all classes begin and end on time. All instructors may be reached through our website, online suite and toll free telephone service if you would like to discuss anything
in great detail. All other general socialization must be moved out of the classroom and into the lobby area.
Class Participation
All
patrons are treated equally and no person is guaranteed any specific “spot” on the dance floor. The dance floor is for everyone
to enjoy and rude or confrontational behavior is not tolerated. We have a first come first serve policy in place at all times
and the saving of spots for others is not acceptable. At times, specific spots (VIP section) may be made available and are open
for all to purchase.
Everyone is asked to be aware of your own limits during class. If you feel uncomfortable with any
movements for any reason, you are not required to do them. We do ask however that you at least keep moving in the same direction
as the rest of the class as to not prevent others from participating. If you know that you often need to stop, take a break,
or modify movements; we request that you do NOT stand in the front of the class as many times participants in the back that cannot
see the instructor follow the students in the front.
Participants are asked to please respect the property and equipment of the studio
and not attempt to adjust, repair, clean, move, open, close, unplug, etc. any fixtures, property and/or equipment.
Absolutely no outside
food, drinks, or gum is allowed in the studio at anytime. Water is available for purchase at the front desk for $1.00.
Children
Children
MUST be with their parent/legal guardian AT ALL TIMES! If a child participates in an adult class, they must pay regular price
for that class. If space permits, children may sit in the classroom and conduct stationary activities (coloring, homework, video
games, etc.). Children must be seated in the front or sides of the classroom as to be seen by participants.
All sales are final. Absolutely no exceptions. Everyone is given the choice to pay for just one
class (to try it out) or multiple classes in a specified period of time. Buyer’s remorse (not liking the class) is not a justifiable
reason to demand a refund. Refunds will be given only on rare and extreme circumstances when services where not rendered. Punch Cards and Packages do expire and credits will not be extended because they were not used. We accept cash, check, and debit/credit
cards. There is a minimum purchase of $20 for all checks and a $15 service charge for all returned checks. Specialty class
are subject to a different class price then regular classes.
Online Reservations
FFS is a contract free, pay as you go facility that
DOES NOT require advanced registration for weekly scheduled classes. We do however, offer online reservations for your convenience. The online reservation feature was designed for those who would like to guarantee their spot in classes by “checking in early” using
credits on their account from any Punch Cards or Packages. There is also an option to purchase one walk credit to be used for
a class on the same day. You will still need to stop by the front desk and confirm your attendance for the class to gain entry
to the room. This is a completely optional feature in our online suite. You may choose to continue the process of “just
showing up” and pay the drop in rate or apply any credits from your Punch Card or Packages.
Cancellations
We understand that sometimes
you may have every intention on attending a class when you “check in early” online but are forced to miss class due to various circumstances. Please understand that when you make on online reservation for a service, we honor it 100% and other students may be turned away if
the class is full. Therefore, if you do not cancel your online reservation at least 2 hours prior to the start time, your account
will still be charged for the class and any credits on your account WILL be deducted. Cancellations MUST be made online! No telephone cancellations will be accepted. Members with unlimited credits should NOT abuse this feature or their online reservation
privileges will be terminated.
Extreme Circumstances
Rarely a class must be canceled due to inclement weather restrictions or severe
illness or injury to the instructor. Please know that before a class is canceled, every attempt has been made to find a substitute
or other alternative to canceling the class. Classes that are canceled in advanced will be posted on our website home page &
Facebook, appear in red on our interactive schedule, announced in all classes, recorded on our automated telephone extension, and
communicated to you via email and/or text message if you have opted in for those services. If a class must be canceled at the
last minute, every effort will be made to contact you through all available means and if we are unsuccessful, you will be compensated
for your inconvenience.
